Introduction & End-user Deliverables
  • Allocated Time: 3 hours
  • Details
    The ERPNext Accounting system can be fully encoded with sample data to demonstrate key reports such as the Trial Balance (TB), Profit & Loss (P&L), Balance Sheet (BS), and Cash Flow Statement (CFS). These reports are generated from the Chart of Accounts and Journal Entries, which are the foundational inputs for the system. The Trial Balance verifies that debits and credits are balanced, while the P&L summarizes revenue and expenses over a period to determine profitability. The Balance Sheet provides a snapshot of the company’s financial position, showing assets, liabilities, and equity, and the Cash Flow Statement tracks the inflow and outflow of cash from operating, investing, and financing activities.
  • Dependencies
    No external dependencies are required, and the system is fully operational once the required inputs are configured.
Training & Configuring Chart of Accounts and Journal Entries
  • Allocated Time: 2 hours
  • Details
    Using the end user’s production of the Chart of Accounts (CoA) and Journal Vouchers (JVs), the trainer will guide users through importing the CoA into ERPNext. Once the CoA is configured, the JVs will be imported, fine-tuned, and calibrated to ensure proper accounting entries.

    The introduction session must be completed, and the end user must provide sample CoA and JV data.
Encoding Journal Entries: Payables and Disbursements

    Training will cover how to encode payables and disbursements using ERPNext’s Payment Modules, ensuring proper tracking of liabilities and expenses.
  • Dependencies
    The Chart of Accounts (CoA) setup must be completed, and the end user must have a basic understanding of Journal Entries, with entries prepared for import.
Encoding Collections and Proper Journal Entries

    Training will focus on how to record collections, ensuring that received payments are correctly attributed to the appropriate accounts. This includes handling customer payments and reconciling incoming transactions.
  • Dependencies
    The Chart of Accounts (CoA) and Journal Entry setup must be complete, and trainees must have an understanding of payables and disbursements.
Encoding Adjustments
  • Allocated Time: 2 hours
  • Details
    Training will cover how to record accounting adjustments using ERPNext’s Reconciliation tools, including handling accruals, prepayments, depreciation, and making corrections to financial statements.
  • Dependencies
    Journal Entries for payables, disbursements, and collections must be completed and reviewed.
Generating the Trial Balance & Troubleshooting Discrepancies

  • Details
    Training will focus on generating a Trial Balance from ERPNext and identifying any discrepancies in debits and credits, ensuring all transactions are properly accounted for.
  • Dependencies
    All Journal Entries (payables, disbursements, collections, and adjustments) must be encoded.
Generating a Profit & Loss Statement & Validating Entries

    Training will cover creating the Income Statement and reviewing revenue and expense transactions for accuracy, identifying and resolving any misclassified entries.
  • Dependencies
    The Trial Balance must be generated and reviewed for errors.
Generating a Balance Sheet
  • Allocated Time: 2 hours
  • Details
    Training will focus on using the Trial Balance data to generate the Balance Sheet, incorporating assets, liabilities, and equity, and ensuring that net profit/loss is correctly carried over.
  • Dependencies
    The Profit & Loss Statement must be validated to ensure accuracy in retained earnings calculations.
Configuring the Cash Flow Report & Modules
  • Allocated Time: 1 hours
  • Details
    Training will cover configuring the Cash Flow report, ensuring alignment with the company’s cash flow reporting standards, which requires proper setup of all previous reports.
  • Dependencies
    The Balance Sheet and Profit & Loss Statement must be validated and finalized.
